Special Services Receptionist/Administrative Asst. Job Description

 

QUALIFICATIONS:               

1.  Some college or vocational education preferred, high school diploma   acceptable. 

2.  Good verbal and written communication skills.

3.  Working knowledge of basic office procedures and the operation of  common office equipment and machines including copiers and  computers with reasonable rate of speed with accuracy.

4.  Experience using computer word processing, database and spreadsheet programs, Microsoft Office, and Windows operating  systems.

5.  A minimum of 3 years’ experience as an office administrative assistant.

6.  Ability to deal tactfully and courteously with parents, students, and teachers, with an interest in, and an understand                                           

 7.  Proficient in business English, spelling, business math, and proof reading.

8.  Must have strong organizational skills, particularly experienced with filing systems, and the ability to handle multiple tasks at one time.

9.  Have a current Kansas drivers’ license.

10.  Maintain the confidentiality of district documents, business conversations, and student information.

JOB GOAL:To assure the smooth and efficient operation of the Special Education Cooperative’s business operations in a customer centered, policy guided manner.                                              

 

 

PERFORMANCE RESPONSIBILITIES:         

 

1.      Greet and assist all walk-in traffic to the office.  Answer the telephone promptly, direct calls or take messages.

2.      Assist the Webkidds / Kan-Service Coordinator in maintaining student files.  Daily/weekly filing will be necessary.

3.      Assist other clerical staff with summer Medicaid auditing responsibilities (student file related).

4.      Provides direct support to Director of Special Education.

5.      Close out old files; collect SPED teacher; search through these for any duplications and shred duplicates; file in appropriate cabinets in basement.  Send exited student files to office manager for verification.

6.      Pre-school screening appointment secretary.  Receive phone calls from parents and complete information page for each child being screened.  Secure location for screening.  Notify local newspapers of screening date and location.  Notify appointed school psych of location, date, and numbers of students referred.  Email copy of sign-up sheet to health department a few days before screening.  Copy all necessary materials pertinent to screening and distribute to staff.  Send out denial/information letters after each screening.

7.      Keep an up-to-date directory of addresses and phone numbers of all employees for the Cooperative.  Inform Director and Human Resources of any known changes.

8.      Schedule routine or emergency maintenance and repairs to copier/printer.  Assist staff with coping procedures.  Keep paper stocked for copy usage.  Keep toner stocked and copier filled with toner and staples.

9.      Notify Director when printing is required.

10.  Maintain sufficient supplies for the smooth operation of Coop including the preparation of purchase orders for said supplies. 

11.  Create, organize and prepare SSC yearly calendar.  Create, edit and prepare SSC brochures (Learning Center, Welcome to SSC, Pathways to Success, I/T, etc.).  Create and maintain SSC Birthday Calendar and send out monthly birthday cards to all SPED staff.

12.  Provide general office clerical duties as assigned (i.e. newsletters, Special Edition Newsletter, business cards, PowerPoint presentations, scheduling of child find screenings, Kindergarten Round-up, Hearing screening dates.  Process mailings to staff (typing etc.)  Anything that supports the smooth operation and functioning of the office.

13.  Work with clerical office staff members to cross train/job share positions in an effort to maintain a cohesive and effective clerical team, based on the schedules of everyone involved.

14.  Assist with the preparation of annual meetings including the Administrator’s Retreat in June and the “Start of School” pre-service, and for various in-services throughout the year as needed.  Tasks include organizing the location of events, preparation of individual packets, arranging for food and supplies, etc.

15.  Assist in yearly certified staff checkout process.

16.  Assist in sending, collecting and up-loading student records (EC and other) into Webkidds/Kan-Service.

17.   Maintain monthly record of transportation arrangements of all students attending out of district attendance centers.

18.  Create forms, surveys, evaluations etc., as needed on the computer for all staff/administrative use.

19.  Review for accuracy and make changes as needed to all incoming IEPs (HATS Packets) for assigned district/s.

20.  Team with school psych for assigned school district to review IEPs as needed.

21.  Enter all entry and exit ECO forms.

22.  Attend yearly Early Childhood Outcomes meetings/trainings with the Director and EC Staff members.  Work with office staff to assist EC/IT staff members with necessary information/instruction required to complete these forms. Work with Cooperative office staff to submit Data through the State website for Early Childhood Outcome reporting.

23.  Assist MIS clerk in scanning and uploading all EC HATS packets into Webkidds/Kan-Service.

24.  Scan and upload all DNQ packets into Webkidds and destroy paperwork.

25.  Maintain appropriate professional appearance.

26.  Display a positive attitude about present assignment.

27.  Be respectful of and helpful to all district employees, students, parents, and community members.
